HVAC software free trials: who offers one, and for how long
Updated
A trial is worth more in this category than in most, because the thing that decides whether field software works is not its feature list, it is whether your engineers will actually use it on a phone in a plant room with no signal. That cannot be assessed in a demo. Here is who lets you find out.
The trials on offer
Kickserv offers free for 30 days, the longest here. Housecall Pro and ServiceM8 both offer 14 days with no credit card required. ServiceM8 also runs a genuinely free tier at $0 a month for 30 jobs and 1 user, which is not a trial at all but an indefinite way to test the product on real work.
FieldEdge states it does not offer a free trial, and gives its reason: it prefers guided onboarding. ServiceTitan and FieldPulse do not mention a trial.
What to actually test
Run real jobs through it, not sample data. The three things that break in practice are the mobile app in poor signal, the accounting sync, and whether a job dispatched at 4pm reaches the right van without a phone call.
The accounting sync is worth its own attention because it is where the hidden cost sits. Kickserv includes QuickBooks Online and charges $50 a month extra for QuickBooks Desktop. Housecall Pro puts QuickBooks Online sync on Essentials at $149, not on Basic at $59. If your bookkeeper is on Desktop, that changes which plan you are actually buying.
Two weeks is short for a maintenance-led firm
If your work is recurring HVAC maintenance rather than reactive callouts, a 14 day window will not show you the thing you most need to see: whether the system generates next year's visits correctly and whether the equipment history is usable when the engineer arrives.
There are two ways round it. Kickserv's 30 days gives you a fuller cycle. ServiceM8's free tier lets you keep a small slice of real work in the system indefinitely while you decide, and 30 jobs a month is enough to run one van.
What the annual discount does to a trial decision
Both Housecall Pro and Kickserv price annual billing meaningfully below monthly: Housecall Pro's published figures are the annual ones, saving $20 to $40 a month against monthly billing, and Kickserv states 20% off for an annual subscription.
That is a real saving and it is also a commitment made at exactly the moment you know least. Run the trial monthly, then switch to annual at renewal once the thing is embedded. The first year discount is rarely worth as much as the option to leave.
